As a Personal Assistant, you will provide administrative and secretarial support to the Project Director / Senior Construction Manager by preparing correspondence, highly confidential documents, briefing notes, and other material. Also, you will ensure the smooth flow of all day-to-day activities in the Constructions Directors’ office by managing a high volume of meeting scheduling, arranging travel, and coordinating activities between the Construction Director, Construction Manager, and project team.
Furthermore, you will form part of the administrative function where you will interact with the Construction team by coordinating and arranging meetings, maintaining the database, preparing monthly status reports of incoming confidentiality forms, and preparing letters. Also, You will be the primary contact and a key resource for the Construction Director, liaising between project staff, public stakeholders, and the client.
Furthermore, you will be responsible for taking notes at the directors’ weekly meetings and the project team’s weekly update meetings and preparing an action Item list for review by attendees. You will manage general office administration activities by coordinating and resolving equipment and facilities issues, managing area filing (electronic and hard copy, including email), following records management guidelines, and creating and filing documentation.
As a successful candidate, you will have strong DMS (Document Management System) knowledge and strong communication and relationship-building skills. Also, you must be proficient in MS Office which is a pre-requisite of the role that you have Middle East experience.
